General Information
● School programs shall have the first priority and are scheduled on that basis. The school district reserves the right to schedule school events prior to the public scheduling of facilities.
● Use of school facilities on a weekly basis shall be at the discretion of the school Principal.
● Events shall only be scheduled after the normal school day, weekends, days when school is not in session, holidays, and during the summer months or when no school function has been scheduled. In the event a renter does not vacate the building at time listed on the contract, the renter will be responsible for paying overtime for all staff involved.
● Groups or organizations given the privilege of using school facilities shall not transfer those
rights to other groups.
● Groups holding regular meetings throughout the year need only submit one application.
● School system employees (site supervisors) or employees of Vestavia Hills Parks and Recreation Department shall be responsible for unlocking, locking, and operating heating/ventilating equipment. The cost of such charges is included in the fee charges.
● Overtime custodial charges will be assessed for facility use during evening or non-school hours and on Saturday, Sunday, or a holiday.
● Security and Medical Coverage is the responsibility of the group renting the facilities.
● All groups shall leave the school facilities in the same order and condition in which they found
them. The Site Supervisor must sign off that the spaces are acceptably clean before the renter is allowed to leave. If the spaces are not acceptable the deposit will not be refunded.
● Custodians will be responsible for keeping the bathroom stocked, sweeping the floor, and taking out the trash.
● The auditorium is a Vestavia Hills High School building, and all dates are subject to the needs of Vestavia Hills High School students and faculty.
● There is to be no food or drink in the Arts spaces.
● VHHS ONLY: All occupants of the auditorium must be supervised during the occupation of the building. Any
damage done by unsupervised people is the responsibility of the renter.
● VHHS ONLY: The costumes, props, set pieces, and platform/risers housed in the auditorium are not to be used without prior consent. If theatre department materials are found outside their assigned area, the renter will be charged a rental fee.
● VHHS ONLY: The rigging and catwalks of the auditorium are prohibited from use of non-arts facility personnel.
● In case of a natural disaster or national emergency such organizations as Civil Defense and the American Red Cross will have use of any school facility that may be needed.
● In case of medical or other emergency situations occurring during the use of a school facility, the Event Representative must notify the school’s principal or assistant principal within 24 hours.
Written reports of the incident or any other necessary information must be provided at the request of the Superintendent.

Prohibited Activities
● Partisan political meetings or rallies.
● Any non-school use that conflicts with school activities.
● Any non-school use that may be reasonably understood as physically injurious to school property.
● Fundraising projects or fundraising campaigns, except such projects or campaigns for direct
service or benefit to the schools, pupils, or community; or except for such other fundraising
campaigns which are specifically approved by the Vestavia Hills City Schools.
● Promoting any theory or doctrine contradicting the constitution or laws of the United States of
America or any subdivision thereof or advocating government changes by violence.
● Non-school activities that may be reasonably understood to cause or entice public disturbances on or near school grounds.
● Non-school assemblies for promotion of unjust discrimination, for example, on account of race or religion.

Laws-Rules-Regulations
● All groups requesting the use of any school facility must identify an adult as the contact person for the group who will be responsible to the Vestavia Hills City Schools for the use of the facility. All children must be under the supervision of a responsible adult at all times.
● The use of tobacco, alcoholic beverages, and controlled substances is strictly prohibited in or on Vestavia Hills City Schools district property.
● Organization/User shall not bring into any school facility, or its premises, any material, substance, equipment, or object which is likely to cause damage to the facility, endanger the life of or cause bodily injury to any person in the facility or which is likely to constitute a hazard.
● Any decision affecting any matter not herein expressly provided for shall rest solely within the
discretion of the Vestavia Hills City Schools.
